Community Service Program: Strengthening Workshop Management at Indralaya Utara State Vocational High School No. 1
The Mechanical Engineering Education Study Program at the Faculty of Teacher Training and Education (FKIP), Sriwijaya University, once again held a Community Service (PkM) activity as part of its implementation of the Tri Dharma of Higher Education. This activity took place at SMK Negeri 1 Indralaya Utara, Tanjung Baru Village, Indralaya Utara Subdistrict, Ogan Ilir Regency, South Sumatra. This community service program aims to improve the performance-based management of the school’s workshop and digitize administrative processes through the implementation of a website application (for tool borrowing and return) and the use of QR codes for Standard Operating Procedures (SOPs) in the workshop/laboratory. This activity also supports the implementation of Performance-Based Workshop Management SOPs that were developed and tested directly in collaboration with school officials.
Activity
Phases The activity was carried out in three main phases:
Preparation
Phase On June 26, 2025, the community service team conducted an initial observation at the school to analyze its needs. On October 21, 2025, the community service team prepared for the implementation of the program; activities began with a program orientation and team coordination with the partner school, marked by the partner’s statement of willingness to participate.
This was followed by the finalization of SOP documents and the website application design, the preparation of training materials and supporting media such as the website and QR codes, as well as coordinating the schedule with SMK Negeri 1 Indralaya Utara. The Implementation
Phase of Training and Mentoring on Performance-Based Workshop Management and Administrative Digitization was attended by 15 participants, consisting of teachers and vocational high school technicians. Participants were first provided with instructional materials and then trained to enter equipment data and create daily digital reports on the borrowing and return of practical training equipment. The primary outcomes of this activity were the successful implementation of a digital inventory system with 100% completeness and the formal adoption of the workshop SOPs.
The implementation phase was carried out over several sessions. On Wednesday, November 5, 2025, participants received training on performance-based workshop and vocational high school laboratory management, covering planning, facility and infrastructure management, and the implementation of occupational safety standards. In addition, participants were introduced to the concept of digitizing workshop administration at vocational high schools, which includes the use of applications for equipment data collection, practical training scheduling, inventory management, and activity reporting—all of which are carried out more quickly, accurately, and efficiently. Through this training, participants are expected to improve the quality of workshop management while adapting to the demands of modern, digitally-based administration.
Then, on Thursday, November 6, 2025, participants received training on the practical application of the previous day’s material—performance-based workshop management and the digitization of administrative processes.
This was followed by a mentoring session, during which participants engaged in hands-on practice under the guidance of experts.
The program concluded with a certificate presentation ceremony for all participants, accompanied by a presentation of the performance-based vocational school workshop/laboratory management systems and digitized administrative solutions developed throughout the program. During this session, the target participants presented the design and implementation of a more effective workshop management system, including work procedures, digital administrative tools, and innovations in facility and infrastructure management. This closing event served as a moment of reflection as well as a form of appreciation for the participants’ achievements in developing modern, structured, and performance-oriented workshop management solutions.
Evaluation and Sustainability
The implementation team conducted direct monitoring and observation of SOP implementation and administered user satisfaction surveys. In addition, operational guidelines and a follow-up plan were developed to ensure the program’s continuity.
As part of this sustainability effort, Sriwijaya University provided a one-year grant for premium application access and supported the integration of workshop SOPs into the school’s practical training curriculum.
Support and Hopes
In his remarks, the Principal of SMK Negeri 1 Indralaya Utara expressed his deep appreciation for the implementation of this activity. “We are very grateful for the mentoring program from Sriwijaya University. This activity has helped us organize our workshop’s administrative system more efficiently and professionally. We hope this collaboration will continue so that students and teachers will be better prepared to face the digital industrial era,” he said.
This activity is part of the commitment of the Mechanical Engineering Education Study Program at the Faculty of Teacher Training and Education (FKIP), Sriwijaya University, to develop vocational education innovations relevant to industry needs, while also strengthening collaboration between universities and vocational schools in the South Sumatra region.
